Privacy Policy

ICONNECT TECHNOLOGIES INC. (“iConnect”, “we”, “us”) respects your privacy. This Privacy Policy explains what personal information we collect through www.iconnecttechnologies.com (the “Site”), our AI chat assistant and our other contact channels, why we collect it, how we protect it, and the rights you have under the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission (“NPC”). It applies alongside our Terms of Service.

1. Who We Are

ICONNECT TECHNOLOGIES INC. is the personal information controller for the information described in this Policy. We are located at Unit 11L, 11th Floor Avenir Building, Archbishop Reyes Avenue, Cebu City, Philippines. We are registered with the National Privacy Commission as a personal information controller. You can reach our Data Protection Officer using the details in section 15.

When we provide managed IT, cloud or hosted application services to a business client, we may also process personal information on that client’s behalf. In that case the client is the controller, we act as its personal information processor, and the signed service agreement governs that processing.

2. Information We Collect

Information you give us

Enquiries and quote requests: your name, email address, phone number, what you need, your message and the page you contacted us from.
Job applications: the details above plus the CV you attach (PDF or Word, up to 5 MB) and anything you include in it.
AI chat assistant: the messages you type, the page you were on, any contact details you choose to share (such as your name, email, phone number or company), and the assistant’s replies. See section 4.
Phone and Facebook Messenger: if you call us or message our Facebook page, the details you give us and a record of the conversation.
Clients: the names and contact details of your staff who deal with us, billing information, and the information we need to deliver the services you have engaged us for.

Information collected automatically

Device and usage data: your IP address, browser and device type, approximate location derived from your IP address, the pages you visit, and the site that referred you.
Cookies and browser storage: see section 7.
Spam protection: when you submit a form, Cloudflare Turnstile checks signals from your browser to confirm you are a person and not an automated program.

We do not ask for sensitive personal information (such as your age, marital status, health, or government-issued identification numbers). If a CV you send contains it, we use it only to assess your application.

3. How We Use Your Information

To reply to your enquiry, prepare quotations and proposals, and follow up on them.
To provide, support and bill for the services and products you order from us.
To assess job applications and contact applicants.
To run, monitor and improve our AI chat assistant and the Site.
To keep the Site secure and to prevent spam, fraud and abuse.
To understand how the Site is used and to measure our advertising, where you have allowed analytics and advertising cookies.
To send you marketing messages, only where you have agreed to receive them (see section 11).
To meet our legal, tax and regulatory obligations.

We rely on the lawful bases in the Data Privacy Act: your consent; the need to take steps before entering into, or to perform, a contract with you; compliance with a legal obligation; and our legitimate interests in running and protecting our business, where those interests are not overridden by your rights.

4. Our AI Chat Assistant

The chat on the Site is an automated assistant powered by artificial intelligence. Its replies are generated automatically and may occasionally be inaccurate. It does not make decisions about you that have legal or similarly significant effects; a member of our team reviews any quote or follow-up before it is sent.

Conversations are saved so our team can follow up with you, and so we can review and improve the assistant. Messages are processed on our behalf by our AI model provider, Anthropic, which under its commercial terms does not use our customers’ conversations to train its models.

Please do not share passwords, payment card details or sensitive personal information in the chat. You can ask to speak to a person at any time, or contact us directly using the details in section 15.

We do not sell your personal information. We share it only with:

Service providers that act for us, under contracts that require them to protect it: our hosting and cloud server providers, our email delivery provider, our AI model provider, Google (Analytics and Ads measurement) and Cloudflare (spam protection).
Vendors and distributors, where needed to supply or register the products and licences you order, such as a software licence in your company’s name.
Professional advisers, such as auditors and lawyers, under a duty of confidentiality.
Government and regulators, where the law requires it or to protect our rights, our clients or the public.
A buyer or successor, if our business or its assets are merged, acquired or transferred, in which case this Policy continues to protect your information.

6. International Transfers

Some of our service providers, including Google, Cloudflare and our AI model provider, process information outside the Philippines, for example in the United States. We remain responsible for your information when it is transferred, as the Data Privacy Act requires, and we use providers that apply appropriate contractual and security safeguards.

7. Cookies and Similar Technologies

Essential: needed for the Site to work and stay secure, and to remember your cookie choices.
Spam protection: Cloudflare Turnstile, used on our forms.
Analytics: Google Analytics 4, which tells us how visitors use the Site.
Advertising measurement: Google Ads conversion tracking, which tells us whether a visit from one of our ads led to an enquiry.
Chat assistant storage: your browser’s storage keeps your current chat session and whether you have already seen or dismissed a chat prompt.

When you first visit, our cookie banner lets you accept or decline non-essential cookies, and you can change your choice at any time using the “Cookie settings” link at the bottom of every page. Until you accept, Google Analytics and Google Ads run in a restricted mode that does not set their cookies. Our Cookie Policy lists each cookie and how long it lasts. You can also block or delete cookies in your browser settings; some parts of the Site may not work properly without essential cookies.

8. How Long We Keep It

Enquiries, quotes and chat conversations: up to three years after our last contact, unless you become a client.
Client records: for the duration of our relationship and afterwards for as long as tax, accounting and other laws require.
Job applications: CVs are not stored on the Site; they are emailed to our recruitment inbox and kept for up to one year so we can consider you for future openings, unless you ask us to delete them sooner.
Analytics data: for the period set in our Google Analytics retention setting, and no longer than 14 months.

When we no longer need personal information, we delete it or anonymise it securely.

9. How We Protect It

We use organisational, physical and technical measures to protect your information, including encrypted connections (HTTPS) across the Site, access restricted to staff who need it, multi-factor authentication on administrative access, security monitoring, and regular backups. No system is completely secure. If a personal data breach occurs that is likely to put you at risk, we will notify the National Privacy Commission and the affected individuals within 72 hours of becoming aware of it, as the NPC’s rules require.

10. Your Rights

Under the Data Privacy Act you have the right to:

be informed about how your personal information is processed;
access the personal information we hold about you;
correct inaccurate or incomplete information;
object to processing, including for marketing, and withdraw your consent at any time;
have your information erased or blocked where it is no longer needed or was processed unlawfully;
receive your information in a commonly used electronic format (data portability);
claim damages if you suffer harm from inaccurate, incomplete or unlawfully processed information; and
lodge a complaint with the National Privacy Commission.

To exercise any of these rights, email our Data Protection Officer or use our data privacy request form. We may need to confirm your identity first, and we aim to respond within 30 days.

11. Marketing

We send marketing emails only to people who have agreed to receive them or who are existing clients, and every message includes a way to unsubscribe. We do not send unsolicited bulk messages or automated sales calls.

12. Children

The Site and our services are intended for businesses and are not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, contact us and we will delete it.

13. Other Websites

The Site links to vendor and partner websites that we do not control. Their own privacy policies apply when you visit them, and we encourage you to read those policies before sharing personal information.

14. Changes to This Policy

We may update this Policy as our services, the Site or the law change. We will post the updated version on this page with a new “Last updated” date, and where the changes are significant we will make that clear on the Site.
